1. Scope and operator
Ogbodo Law Firm PLLC ("Ogbodo Law," "we," "us," or "our") operates GavelMind. This Privacy Policy applies when you visit gavelmind.ai, use the GavelMind web application, use our iOS or Android applications, or contact support.
GavelMind is intended for adults aged 18 and older. We do not knowingly collect personal information from children.
2. Information we collect
Account and profile information
We process information such as your name, email address, account identifier, authentication provider, professional or learner profile, and profile image. Authentication providers handle passwords or identity credentials; GavelMind does not receive full payment-card details from app stores.
Training and user content
We may process the roles you select, template or custom case facts, prompts, simulation choices, transcripts, AI responses, session history, progress, scores, achievements, and files or documents you choose to upload.
Voice and microphone information
Voice features require microphone access. Depending on the feature and platform, audio or speech-derived text may be processed to recognize what you say, continue the simulation, and generate spoken responses. Do not include confidential client information or sensitive real-case facts in voice input.
Purchase and entitlement information
When you use paid features, we may receive product, trial, subscription, transaction, renewal, and entitlement status from Apple, Google, or our subscription service provider. Your store account controls the payment method.
Device, usage, and diagnostics
We may process IP address, browser or device type, operating system, app version, identifiers, feature usage, crash reports, performance information, security signals, and general location inferred from IP address.
Support communications
If you contact us, we process your contact details and the contents of your message. Please do not send privileged or client-confidential material through support email.
Public website
The public marketing pages are designed to work without advertising cookies. The web application uses storage and similar technologies necessary for sign-in, preferences, security, and application operation. If optional analytics are introduced on the public site, this policy and any required consent controls will be updated first.
3. How and why we use information
We use personal information to:
- Create and secure your account and authenticate sign-ins.
- Provide, personalize, and maintain simulated courtroom training.
- Process voice interactions, case context, transcripts, and generated responses.
- Save sessions, provide summaries, and display practice history.
- Manage free usage, trials, subscriptions, and paid entitlements.
- Respond to support, privacy, safety, and account-deletion requests.
- Detect abuse, investigate incidents, debug failures, and improve reliability.
- Comply with legal obligations and enforce our Terms of Service.
Where applicable under EEA or UK law, these activities rely on performance of our contract with you, legitimate interests in operating and securing the service, consent where required, and compliance with legal obligations. You may withdraw consent for a consent-based activity without affecting earlier lawful processing.
4. AI, voice, and professional confidentiality
GavelMind sends relevant prompts, case context, transcripts, and instructions to AI and voice-service providers to generate simulated dialogue, audio, and session output. AI content may be inaccurate, incomplete, outdated, or biased. Scores and summaries are training aids and are not used to make legal or similarly significant decisions about you.
5. When information is disclosed
We disclose information only as needed to operate, secure, and support GavelMind, comply with law, or complete a transaction you request. Service providers may include:
- Supabase for authentication, database, storage, and server-side functions.
- Google Gemini for AI-assisted simulation features.
- Firebase for hosting, app security, diagnostics, analytics, crash reporting, and performance monitoring where enabled.
- Deepgram and Inworld for speech or voice features where used.
- RevenueCat for subscription and entitlement management.
- Apple and Google for identity services, app distribution, and store purchases.
- Railway and related infrastructure providers for backend hosting.
We do not sell personal information or use it for cross-context behavioral advertising. We may disclose information in connection with a legal requirement, safety issue, corporate transaction, or with your direction. Providers may process information in the United States and other countries; where required, we use contractual or other recognized transfer safeguards.
6. Retention, deletion, and security
We retain account and training information while your account is active and as reasonably needed to provide the service. We keep diagnostic, security, transaction, support, and legal records only for as long as needed for their purpose, dispute resolution, fraud prevention, tax or accounting obligations, backups, and applicable law.
A deletion request may enter a short safety period before processing. We then delete or de-identify covered information from active systems, subject to documented backup cycles and information that must be retained for security, transaction, dispute, or legal reasons. To request deletion, use the in-app flow or follow our account deletion instructions.
We use reasonable technical and organizational safeguards, including encrypted transport and access controls. No internet service can guarantee absolute security.
7. Your privacy rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; restrict or object to processing; withdraw consent; and appeal a decision about a request. You may also complain to your local data-protection authority.
You can update certain profile information in the app. For access, portability, objection, or other privacy requests, contact us using the details below. We may verify your identity before acting. Authorized agents may submit requests where applicable law permits.
We do not discriminate against you for exercising an applicable privacy right.
8. Changes to this policy
We may update this policy when the product, providers, or law changes. We will publish the revised date here and provide additional notice when a material change requires it.
